Your privacy matters to us. This Privacy Policy explains what data SyncEase ("we," "us," or "our") collects, how we use it, and the choices you have regarding your information.
1. What Data We Collect
We collect only the information necessary to operate the Service:
- Account data: Your name and email address when you register.
- Authentication data: A securely hashed version of your password (we never store your password in plain text). If you sign in with Google, we store your Google OAuth tokens to authenticate future sessions.
- Event data: Event titles, descriptions, date ranges, time windows, and scheduling preferences you provide when creating events.
- Vote data: Availability selections submitted by participants (including their self-reported name and selected time slots).
- Technical data: Standard server logs including IP addresses, browser type, and timestamps, retained for security and debugging purposes.
2. How We Use Your Data
We use the data we collect solely to:
- Authenticate your identity and maintain your session.
- Create, store, and display events and availability results.
- Send transactional emails (e.g., email verification, password reset) necessary for account management.
- Detect and prevent security incidents such as unauthorized access attempts.
- Improve reliability and performance of the Service.
We do not sell your personal data to third parties and do not use it for advertising purposes.
3. localStorage & sessionStorage
The Service uses your browser's localStorage and sessionStorage to maintain your authentication session and remember UI preferences (such as your selected language and timezone). This data is stored locally on your device and is not transmitted to third parties. You can clear this data at any time via your browser settings.
4. Third-Party Services
We integrate with the following third-party services:
- Google OAuth: If you choose to sign in with Google, your authentication is handled by Google. We receive your name and email address from Google to create or link your account. Google's use of your data is governed by the Google Privacy Policy.
- Google Mail (transactional email): We use Google Mail to send account-related emails such as verification links and password reset messages. Your email address is shared with this service solely to deliver those messages.
5. Data Retention & Deletion
We retain your account data for as long as your account is active. Event and vote data is retained to allow organizers to review results at any time.
If you delete your account, your personal data (name, email, hashed password, and OAuth tokens) will be permanently removed from our systems. Event data may be anonymized rather than deleted to preserve scheduling history for other participants.
You may request deletion of your data at any time by contacting us through the account settings page.
6. Data Security
We take reasonable technical and organizational measures to protect your data from unauthorized access, disclosure, or loss. Passwords are stored using a strong one-way hashing algorithm. Access to production systems is restricted to authorized personnel only.
7. Children's Privacy
The Service is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.
8. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this page periodically to stay informed of any changes. Continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
